  • Overview

    The person in this position will support and report to the General Manager of the pharmacy. The person in this position will be responsible for handling a wide range of high-level administrative support.  General duties include performing administrative functions such as business and personal schedule coordination, screening calls, preparing correspondence and other documents using the Microsoft Office suite of products, receiving visitors, arranging conference calls and scheduling meetings.


    • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
    • Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, and PPT presentation software.  Ensure product is error-free and professional.
    • Communicate and handle discrete/confidential incoming and outgoing electronic communications on behalf of the general manager.
    • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.  Greet visitors and determine whether visitors should be given access to specific individuals. Answer phones and direct all incoming calls to appropriate party promptly and efficiently.
    • Prepare responses to correspondence containing routine inquiries in a timely, professional manner


    • Strong knowledge of administrative and clerical procedures and systems (MS Office Suite), file and records management experience, and transcription/other office equipment skills.
    • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
    • Knowledge of principles and processes for providing superior customer and personal service. This includes understanding the needs of the individuals that interface with the executive, their idiosyncrasies, position of authority and expectations in order to exceed their expectation.
    • AA degree required.  BS or BA degree desirable. 
    • Must have strong computer knowledge and exceptional skills in Microsoft Word, Excel, Outlook, and Power Point
