  • Overview

    This position is responsible for handling a wide range of high-level executive support to the General Counsel and the Legal Team with ability to work independently with limited supervision. General duties include performing functions such as project management, coordination with other executives on projects, screening calls, arranging conference calls/meetings and preparing correspondence and other documents using the Microsoft Office suite of products. This position is dedicated to meeting the expectations and requirements of the executive and legal team, to include some personal assistance support.


    • Function as a project manager for the executive. Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner. Work closely with the legal team members and direct/manage some or all aspects of projects depending on complexity and scope.
    • Create Word documents, PowerPoint presentations and Excel workbooks for legal projects and customer and vendor contracts. Maintain customer contract and vendor databases.
    • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution. Answer phones and direct all incoming calls to appropriate party promptly and efficiently.
    • Support regulatory licensing function.
    • Research issues as needed.
    • Process and track invoices; order supplies; coordinate office services.
    • Communicate and handle discrete/confidential incoming and outgoing communications on behalf of the executive. Prepare expense reports, memos, letters and other documents, using word processing, spreadsheet, database, and PowerPoint presentation software. Ensure product is error-free and professional.
    • Retrieve, file and maintain corporate documents, records, and reports. Ensure all information is handled with discretion and kept confidential
    • Prepare responses to correspondence containing routine inquiries in a timely, professional manner. 
    • Ensure work product is error-free and professional.  Accuracy, attention to detail and organization are essential skills.
    • Other Responsibilities: 
      • Work with others in a positive productive manner, anticipating and responding to their needs while balancing existing duties and responsibilities.
      • Other duties as assigned or directed.


    • AA degree required.  BS or BA degree desirable. 
    • Must have strong computer knowledge and exceptional skills in Microsoft Word, Excel, Outlook, and Power Point. 
    • Proven track record as an executive assistant supporting an Executive with a minimum of seven (7) years working as an administrative assistant in a professional work environment.
    • File and records management experience, and other office equipment skills

    Schedule: Core office hours flex between 9AM and 6:30PM.
