This position is responsible to maintain safety and security of the front lobby.  Receives visitors and provides appropriate badges to visitors accessing secured areas of the building. This position processes the returned mail and provides administrative support services for the organization as needed.


Safety and Security:

  • Welcomes on-site visitors, determines nature of business, issues visitor passes, announces visitors to appropriate personnel, and maintains log of visitors.
  • Maintains an awareness of front entrance and parking lot
  • Maintains reception area in neat and orderly condition.
  • Receives small deliveries made to the office such as lunch orders, legal documents, etc.
  • Tracks and maintains records of usage and inventory of temporary access badges.

Phones and Clerical:

  • Answer all incoming phone calls in a prompt and courteous manner;
  • Receive and sort mail and deliveries
  • Performs other clerical duties as needed, which may involve the use of document retrieval systems and reporting systems.
  • Participate in the organization and execution of Employee Activity Committee and facility special events
  • Design documents and postings for bulletin boards
  • Other duties may be assigned to fulfill company objectives

  • Must have the ability to read, write, and speak English.
  • Working knowledge of office machines, such as copiers, scanners, faxes, phone systems, etc.
  • General computer literacy and good knowledge of Microsoft Outlook, Excel, Word, and Google
  • Must have excellent attention to detail.
  • Must be able to bend, stoop, push, pull, and lift at least 15 pounds.
  • Must be able to deal with frequent interruptions while maintaining a positive and productive attitude.

Education: High School Diploma or equivalent

Experience: Prior work as Administrative Assistant is preferred.

Qualifications: One year related experience.
